Overview

 

There are many ways to file claims for your pre-tax accounts. The most common is to use the debit card at the time of your purchase, healthcare payment, or transit expense. Other methods include filing a claim reimbursement online or submitting a hardcopy claim form with supporting documentation. If a claim is submitted either online or in paper, a completed claim form is required in addition to the supporting documentation. When you use your debit card, you do not need to complete a paper claim form.

 

 

Filing Claims Online (FSA or HRA)

 

These instructions outline claim filing procedures for a Flexible Spending Account (FSA) or a Health Reimbursement Account (HRA). 

 

To file a claim online, log in to the Vita Flex consumer portal at www.vitaflex.net.

 

On the home page, click the blue Reimburse Myself button. This is found in the "I Want To …" section.

 

To file a claim for your Health FSA or HRA account, choose the Medical option. This is the option even if the expense type is not specifically medical (such as dental or vision). Selecting the specific subtype will happen later. 

 

After initiating the File a Claim process, you will be asked to submit supporting documentation. This documentation must contain the following requirements to be considered sufficient: 

 

  • Provider's Name

  • Patient's Name

  • Date of Service

  • Service Provided

  • Amount Due

  • Insurance Payments (if any)

 

 

Filing Claims via Email 

 

To file your claim via email, you must submit a signed claim form along with the required supporting documentation. Email your claim form and documentation copies to: claims@vitamail.com. Claims will be processed in 1–2 business days. If additional information is needed, you will be contacted via the method that appears in your account. 

 

 

Filing Claims via Vita Flex Mobile App 

 

To download the mobile app, visit the phone’s app store (Apple App or Android App). Search for Vita Flex and download the app. Follow the prompts in the mobile app to file your claim. Supporting documentation may be submitted by uploading a photo of your receipts or Explanation of Benefits from your phone. To start a new claim, you would select the Reimburse Myself option under the "I Want To" section.

 

 

Transit Claims

 

Transit plans are not eligible for claim submission or reimbursement. The only way to access funds in your transit account is to process transactions through your debit card.

 

 

Scheduling HSA Disbursements

 

These instructions outline HSA disbursement procedures for a Health Savings Account (HSA). 

 

Claims for reimbursement from your HSA do not need a claim to be filed. You may simply transfer the funds out of your HSA to your personal bank account. This is known as an HSA distribution. You can do this either online or via the Vita Flex mobile app.

 

  • Log in to the Vita Flex consumer portal at www.vitaflex.net

  • Select the blue action button labeled Reimburse Myself.

  • Select your HSA account from the drop-down menu.

  • Select how you wish to receive your funds (either by check or by direct deposit into the bank account listed on your profile).

  • Follow the prompts through the remainder of the distribution wizard.

 

Remember, it is very important to retain documentation for any fund transfers out of your HSA. It is your responsibility to make sure that your expenses are eligible and that you have proof of eligibility.

 

Please note that if you select to have funds deposited into your bank account, it can take 2-4 business days for those funds to become available. 

 

Your HSA account belongs to you, and it is your responsibility to make sure that your account is compliant with IRS guidelines.
